Ticketing & Reservation Process

At Traveltron, LLC, our reservation and ticketing process is designed to provide customers with clear travel information, transparent pricing, material booking conditions, and an opportunity to review and authorize a transaction before it is completed.

Traveltron is an independent Online Travel Agency (OTA). Depending on the travel product, we may source travel options through airlines, Global Distribution Systems (GDS), travel APIs, fare consolidators, wholesalers, suppliers, contracted ticketing or fulfillment providers, car rental providers, cruise operators, and other legitimate travel-industry sources.

Traveltron generally provides reservations through three methods:

1. Online Booking Process

Online booking is primarily available for eligible flight reservations through traveltronfares.com and for any other products that Traveltron specifically enables for direct online booking.

Step 1 – Search for Flights

Customers begin by entering their travel requirements.

Search information may include:

  • Origin;
  • Destination;
  • Departure date;
  • Return date;
  • One-way, round-trip, or multi-city preference;
  • Number of passengers;
  • Cabin preference; and
  • Other applicable search criteria.

Traveltron may search available inventory through GDS systems, supplier APIs, airlines, consolidators, contracted suppliers, ticketing sources, and other travel-industry channels.

Travel inventory is dynamic. Availability and pricing may change between the initial search and final confirmation.

Step 2 – Select a Flight Option

Customers may review available flight options and select an itinerary according to their requirements.

Depending upon the selected itinerary, information may include:

  • Airline;
  • Origin and destination;
  • Flight schedule;
  • Number of stops;
  • Connecting airports;
  • Travel dates;
  • Cabin or fare category;
  • Total displayed price;
  • Applicable mandatory taxes and charges;
  • Available baggage information;
  • Cancellation conditions;
  • Refundability;
  • Change restrictions; and
  • Other material fare conditions.

Customers should carefully review the selected itinerary before proceeding.

Step 3 – Enter Traveler Information

The customer provides information required for the reservation.

Depending upon the itinerary, this may include:

  • Passenger's full name;
  • Date of birth where required;
  • Gender where required for travel;
  • Email address;
  • Telephone number;
  • Passport or travel-document information where applicable;
  • Frequent-flyer information where provided; and
  • Other information required for the selected itinerary.

Passenger names should correspond appropriately with the government-issued travel documents that will be used for travel.

Customers should verify names carefully before proceeding because airlines may restrict or charge for corrections after ticketing.

Step 4 – Review the Price and Fare Conditions

Before authorizing payment, customers should review the material conditions applicable to the selected reservation.

These may include:

  • Total transaction price;
  • Fare type;
  • Refundability;
  • Cancellation rules;
  • Change conditions;
  • Available baggage information;
  • Traveltron service fees, where applicable;
  • Supplier charges, where applicable; and
  • Other material restrictions.

Certain bulk, private, promotional, negotiated, consolidator, or restricted fares may carry special conditions.

Such fares may, for example, be non-refundable or have limited change options.

Material restrictions applicable to the selected product should be presented before purchase.

Step 5 – Customer Authorization

The customer decides whether to proceed with the selected itinerary.

Submitting a search, viewing an itinerary, entering passenger information, or beginning checkout does not authorize Traveltron to purchase a materially different itinerary.

The customer authorizes the applicable transaction during the booking process.

If the price materially changes before completion, the revised price should be presented to the customer before the materially revised transaction is completed.

The customer may accept or decline the revised option.

Step 6 – Payment Processing

After customer authorization, the applicable payment is submitted for processing.

Depending upon the transaction structure, payment may involve one or more authorized parties, such as:

  • Traveltron;
  • Airline;
  • Travel supplier;
  • Consolidator;
  • Ticketing or fulfillment provider;
  • Payment processor; or
  • Another disclosed entity involved in the transaction.

In some reservations, the authorized total may appear as more than one charge.

Where split processing is used, the combined authorized amounts should correspond to the total transaction price agreed to by the customer, except for any subsequent service or purchase separately authorized by the customer.

Step 7 – Reservation Processing and Ticketing

After successful payment authorization, the reservation is submitted for processing.

Depending upon the flight, ticket issuance may be completed through:

  • Airline;
  • GDS;
  • Consolidator;
  • Contracted ticketing provider;
  • Fulfillment supplier; or
  • Another authorized travel-industry source.

A booking request or payment authorization does not by itself guarantee ticket issuance.

The reservation remains subject to successful processing and confirmation.

Step 8 – Ticket Confirmation

After successful ticketing, Traveltron provides the applicable confirmation information.

This may include:

  • E-ticket number;
  • Airline confirmation or booking reference;
  • Passenger information;
  • Confirmed itinerary;
  • Fare information; and
  • Other relevant booking details.

Customers should promptly review their confirmation and notify Traveltron if they believe any information is incorrect.

2. Quote-Based Reservation Process

Traveltron uses a quote-based process primarily for products that require us to research or confirm suitable options before the customer completes a reservation.

This model is generally used for:

  • Car rentals;
  • Cruise reservations;
  • Complex travel requests; and
  • Other products requiring assisted sourcing.

Submitting a quote request does not create a confirmed reservation and does not, by itself, authorize a payment.

3. Car Rental Quote & Reservation Process

Step 1 – Submit Your Rental Requirements

Customers may provide:

  • Pickup location;
  • Return location;
  • Pickup date and time;
  • Return date and time;
  • Preferred vehicle category;
  • Number of travelers;
  • Driver requirements; and
  • Other relevant preferences.

Traveltron may source eligible car rental options through:

  • Rental providers;
  • Dealers;
  • Wholesalers;
  • Travel suppliers;
  • Distribution systems;

Rental availability and rates remain dynamic.

Step 3 – Rental Quote

Traveltron may provide one or more available rental options.

Depending upon the available information, the quote may identify:

  • Rental provider;
  • Vehicle category;
  • Pickup location;
  • Return location;
  • Pickup and return dates/times;
  • Rental duration;
  • Quoted price;
  • Mileage conditions where applicable;
  • Cancellation conditions;
  • Prepayment requirements; and
  • Other known material rental conditions.

The quoted vehicle category does not necessarily guarantee a particular make, model, color, year, or configuration unless specifically confirmed by the rental provider.

Step 4 – Customer Reviews the Quote

The customer reviews the available option and decides whether to proceed.

Simply requesting a quote does not authorize Traveltron to charge the customer.

Where payment is required, the customer must approve the applicable price and material conditions before the chargeable transaction is processed.

Step 5 – Rental Reservation Request

After customer approval, Traveltron submits or facilitates the applicable reservation request.

Availability may remain subject to rental-provider or supplier confirmation until the reservation has been finalized.

Step 6 – Rental Confirmation

After successful confirmation, Traveltron provides the applicable reservation information.

Customers should review:

  • Rental confirmation number;
  • Rental provider;
  • Pickup and return locations;
  • Dates and times;
  • Vehicle category;
  • Price information; and
  • Applicable rental conditions.

Step 7 – Requirements at Vehicle Pickup

A confirmed reservation does not eliminate the rental provider's pickup requirements.

The provider may require:

  • Valid driver's license;
  • Minimum driver age;
  • Acceptable credit or debit card;
  • Security deposit;
  • Identification;
  • Insurance/protection requirements;
  • Additional-driver charges;
  • Fuel conditions; or
  • Other rental requirements.

These requirements are controlled by the applicable rental provider.

4. Cruise Quote & Reservation Process

Traveltron may present one or more available cruise options.

  • Quoted price;
  • Deposit requirement;
  • Payment schedule;

Cruise prices and cabin inventory may change until the reservation is successfully confirmed.

Step 4 – Review Cruise Conditions

Customers should carefully review applicable cruise conditions before purchasing.

Cruise cancellation policies can become progressively more restrictive as the sailing date approaches.

Depending upon the selected cruise product, a reservation may involve:

  • Refundable deposit;
  • Non-refundable deposit;
  • Partial cancellation penalty;
  • Percentage-based cancellation penalty; or
  • Full cancellation penalty.

Customers should understand these conditions before approving the reservation.

Step 5 – Customer Approval

The customer decides whether to accept the selected cruise option, price, and material conditions.

Receiving a cruise quote does not create a reservation.

Step 6 – Deposit or Payment Authorization

Where required, the customer authorizes the applicable deposit or payment.

Any separate Traveltron service or professional fee applicable to the transaction should be disclosed before authorization.

Step 7 – Cruise Confirmation

Once the applicable supplier successfully confirms the reservation, Traveltron provides the available confirmation information.

Customers should promptly review:

  • Traveler names;
  • Cruise operator;
  • Ship;
  • Sailing date;
  • Departure port;
  • Cabin category;
  • Deposit/payment information;
  • Final-payment deadline;
  • Cancellation schedule; and
  • Other material conditions.

5. Booking by Phone

Traveltron also provides telephone-assisted travel reservation services.

Booking by phone may be used for:

  • New flight reservations;
  • Car rental reservations;
  • Cruise reservations;
  • Complex itineraries;
  • Existing reservation servicing;
  • Travel consultation; and
  • Other eligible travel requirements.

The customer provides relevant travel preferences to a Traveltron representative.

This may include:

  • Origin;
  • Destination;
  • Travel dates;
  • Number of passengers;

  • Nonstop or connecting preference;
  • Baggage requirements;
  • Travel flexibility; and
  • Other relevant preferences.

Step 2 – Representative Searches Available Options

The Traveltron representative searches eligible travel-industry inventory.

One or more available itineraries may then be presented to the customer.

Availability and price remain subject to change until the applicable transaction is confirmed.

Step 3 – Selected Fare and Material Conditions

Before the customer authorizes the purchase, the representative should communicate material information applicable to the selected itinerary.

This may include:

  • Airline;
  • Route;
  • Travel dates;
  • Flight schedule;
  • Total quoted price;
  • Fare type;
  • Refundability;
  • Change restrictions;
  • Available baggage information;
  • Important cancellation conditions; and
  • Traveltron service fees, where applicable.

Step 4 – Customer Approval

The customer decides whether to proceed.

Traveltron may use appropriate written or electronic methods to document customer authorization where applicable.

Where an electronic or email confirmation is requested as part of the transaction, ticketing may remain pending until the required authorization has been received.

Step 5 – Payment Authorization

The customer authorizes the agreed transaction amount.

Authorization for one quoted transaction does not constitute authorization for an unrelated or materially different charge.

If the applicable price materially changes before ticket issuance, the revised amount should be communicated to the customer before the revised transaction is processed.

Step 6 – Ticket Processing

After authorization, Traveltron submits the applicable reservation for ticketing through the appropriate travel-industry source.

Ticket issuance remains subject to successful processing and availability.

Step 7 – Confirmation

Following successful issuance, Traveltron provides the applicable ticket or reservation confirmation through email or another agreed communication method.

Customers should review the confirmation promptly.

7. Car Rental Booking by Phone

For telephone-assisted car rental reservations, a Traveltron representative may:

  • Collect rental requirements;
  • Research available options;
  • Present an available quote;
  • Explain the applicable rate;
  • Explain known material rental conditions;
  • Explain whether the selected product is prepaid, pay-at-counter, refundable, partially refundable, or restricted;
  • Obtain customer approval;
  • Process or facilitate authorized payment where required; and
  • Provide reservation information following successful supplier confirmation.

8. Cruise Booking by Phone

For telephone-assisted cruise reservations, a Traveltron representative may:

  • Collect cruise preferences;
  • Research available sailings;
  • Present eligible cruise options;
  • Explain available cabin categories;

  • Explain deposit requirements;
  • Explain known cancellation conditions;
  • Explain applicable payment deadlines;
  • Obtain customer authorization;
  • Process or facilitate an authorized deposit/payment; and
  • Provide confirmation following successful booking.

Cruise prices, promotional benefits, and cabin inventory can change until the reservation is successfully confirmed.

9. What Is NOT a Confirmed Reservation?

The following activities should not, by themselves, be treated as confirmation of a travel reservation:

  • Searching for travel;
  • Viewing a price;
  • Receiving a quote;
  • Submitting an inquiry;
  • Discussing an itinerary by telephone;
  • Providing passenger or traveler information;
  • Asking Traveltron to research an option;
  • Receiving a preliminary itinerary;
  • Starting checkout without completing it; or
  • Providing payment authorization where the underlying supplier/ticketing process has not yet successfully completed.

A travel product should be considered confirmed only after the applicable reservation or ticketing process has been successfully completed and confirmation has been provided.

10. Price & Availability Before Confirmation

Travel inventory is dynamic.

Before confirmation, a supplier or inventory source may change:

  • Fare;
  • Flight availability;
  • Rental rate;
  • Vehicle availability;
  • Cruise fare;
  • Cabin availability;
  • Schedule;
  • Promotion;
  • Taxes;
  • Inventory; or
  • Other reservation conditions.

If a material change occurs before confirmation, Traveltron may present the revised option to the customer.

The customer is not required to accept a materially different price or travel product.

11. Bulk, Private, Promotional & Restricted Inventory

Traveltron may offer inventory obtained through specialized travel-industry sources.

This may include:

  • Consolidator fares;
  • Bulk fares;
  • Private fares;
  • Negotiated fares;
  • Promotional fares;
  • Wholesale inventory;
  • Dealer inventory;
  • Restricted rental rates; and
  • Special cruise promotions.

These products can carry different conditions from standard publicly available products.

Restrictions may include:

  • No voluntary refund;
  • Limited or no voluntary changes;
  • Cancellation penalties;
  • Non-refundable deposits;
  • No-show forfeiture;
  • Restricted future credits; or
  • Other product-specific limitations.

Material restrictions applicable to the selected product should be disclosed before purchase.

A voluntary non-refundable condition does not override a mandatory consumer or passenger right provided by applicable law.

12. Payment Processing

Traveltron reservations may involve one or more authorized payment entities.

Depending upon the transaction, a customer's statement may show a charge from:

  • Traveltron;
  • Airline;
  • Travel supplier;
  • Consolidator;
  • Ticketing/fulfillment provider;
  • Car rental provider;
  • Cruise provider;
  • Payment processor; or
  • Another disclosed entity involved in fulfillment.

Where an agreed transaction is processed as multiple charges, the combined authorized amount should correspond to the total agreed transaction price unless the customer subsequently authorizes an additional product or service.

13. Customer Responsibility Before Approval

Before authorizing a reservation, customers should carefully review available material information, including:

  • Traveler names;
  • Travel dates;
  • Airports or ports;
  • Pickup and return locations;
  • Flight itinerary;
  • Cruise sailing;
  • Cabin or vehicle category;
  • Total applicable price;
  • Fare/rate conditions;
  • Cancellation rules;
  • Refund conditions;
  • Change conditions;
  • Payment deadlines; and
  • Other material restrictions.

Customers should promptly notify Traveltron if they identify a suspected error.

14. After Confirmation

After receiving confirmation, customers should retain and review their reservation information.

Flight Reservations

Confirmation may include:

  • E-ticket number;
  • Airline confirmation reference;
  • Itinerary;
  • Passenger information; and
  • Fare information.

Car Rental Reservations

Confirmation may include:

  • Rental confirmation number;
  • Rental provider;
  • Pickup/return details;
  • Vehicle category; and
  • Applicable rental conditions.

Cruise Reservations

Confirmation may include:

  • Cruise confirmation number;
  • Cruise operator;
  • Ship;
  • Sailing date;
  • Cabin information;
  • Deposit/payment schedule; and
  • Cancellation conditions.

15. Post-Booking Changes

After confirmation, changes remain subject to the conditions applicable to the selected travel product.

A requested change may involve:

  • Fare difference;
  • Rate difference;
  • Supplier penalty;
  • Airline charge;
  • Additional taxes;
  • Cancellation charges; and
  • Applicable Traveltron professional service fees.

Where a new Traveltron service fee applies, it should be disclosed before the customer authorizes the chargeable service.

16. Cancellations & Refunds

Refund eligibility depends upon factors such as:

  • Travel product;
  • Fare or rate conditions;
  • Supplier terms;
  • Reason for cancellation;
  • Timing;
  • Whether the customer or provider initiated the cancellation; and
  • Applicable law.

A product described as non-refundable may have no refundable product value following a voluntary customer cancellation.

However, such a restriction does not eliminate a mandatory refund or passenger right that may arise under applicable law.

17. Travel Consultation for Third-Party Reservations

Traveltron may, where available, provide professional travel consultation concerning reservations originally made through another travel provider.

Depending upon the circumstances, Traveltron may assist with:

  • Reviewing an existing reservation;
  • Reviewing available fare/product conditions;
  • Researching alternatives;
  • Rebooking research;
  • Cancellation guidance;
  • Supplier communication; or
  • Other eligible professional travel assistance.

A consultation or professional service fee may apply.

Where a fee applies, the scope of the service and applicable Traveltron fee should be disclosed before customer authorization.

Providing consultation does not make Traveltron the airline, rental provider, cruise operator, or original booking agency for the underlying reservation.

18. No Guarantee of Supplier Action

Where Traveltron submits, communicates, or facilitates a request involving an independent supplier, Traveltron cannot guarantee that the supplier will:

  • Confirm a particular itinerary;
  • Approve a waiver;
  • Approve a voluntary refund;
  • Permit a requested change;
  • Reinstate a reservation;
  • Provide particular inventory;
  • Provide a particular rental vehicle;
  • Provide a particular cruise cabin;
  • Extend a credit; or
  • Grant another requested exception.

Supplier-controlled decisions remain subject to supplier rules and applicable law.

19. Customer Consent & Transaction Control

Traveltron's reservation process is designed to give customers an opportunity to understand and authorize their transactions.

Where applicable to the transaction, customer authorization should be obtained before:

  • Completing the original purchase;
  • Charging an additional Traveltron service fee;
  • Accepting a material price increase;
  • Purchasing a materially different voluntary itinerary;
  • Processing a separately chargeable service; or
  • Completing another materially different customer-requested transaction.

Authorization for one transaction should not automatically be treated as authorization for an unrelated transaction.

20. Important Ticketing & Reservation Disclosure

Traveltron, LLC IS AN INDEPENDENT ONLINE TRAVEL AGENCY AND TRAVEL-SERVICES BUSINESS.

Traveltron reservations may be completed online, through a quote-based process, or with telephone assistance, depending upon the travel product and customer request.

Flight inventory may be sourced through airlines, GDS systems, consolidators, suppliers, APIs, wholesalers, contracted ticketing or fulfillment providers, and other legitimate travel-industry sources.

Car rental and cruise reservations may use a quote-based and/or telephone-assisted process. Submitting an inquiry or receiving a quote does not itself create a confirmed reservation.

A travel search, quotation, telephone discussion, booking request, preliminary itinerary, or payment authorization does not by itself guarantee final supplier confirmation or ticket issuance.

Travel products should be treated as confirmed after the applicable reservation or ticketing process has been successfully completed and confirmation has been provided.

Material pricing and material product conditions should be presented before customer authorization. If a material price change occurs before confirmation, the customer should have the opportunity to accept or decline the revised transaction.

Certain bulk, private, negotiated, promotional, consolidator, wholesale, dealer, or otherwise restricted travel products may carry special cancellation, refund, change, deposit, or no-show conditions.

Nothing in this Ticketing & Reservation Process is intended to waive or restrict any mandatory consumer, passenger, cancellation, or refund right that cannot lawfully be waived.
