This Post-Booking & Post-Ticketing Service Fee Policy explains fees that may be charged by Traveltron when a customer requests professional assistance after making a reservation.

This policy covers:

Information about eligible post-booking and post-ticketing service fees for flights, car rentals, cruises, and travel-support services.

1. Flight Post-Ticketing Service Fees

The following Traveltron service fees may apply when a customer voluntarily requests servicing of an eligible ticketed flight reservation.

Depending upon the reservation, additional amounts may include:

2. Flight Fare Differences

A fare difference is not a Traveltron service fee.

If an existing eligible ticket has an applicable value of $450 and the newly selected itinerary costs $600, for example, the applicable fare difference may be $150 before considering other charges.

The actual calculation is determined by the applicable ticket, fare conditions, airline pricing, supplier requirements, taxes, available inventory, and requested itinerary.

Airfares remain dynamic until the applicable change has been successfully confirmed.

3. Airline Change and Cancellation Charges

An airline may impose its own change, cancellation, reissue, or other charges depending upon the applicable fare.

These charges are separate from Traveltron's service fees.

Traveltron will not intentionally describe:

  • A Traveltron fee as an airline fee;
  • An airline fee as a Traveltron fee;
  • A Traveltron fee as a government tax; or
  • A fare difference as a Traveltron service fee.

Where reasonably available at the time of the transaction, the different components will be identified before the customer authorizes the requested service.

4. Flight Cancellation Assistance

Traveltron may assist customers with voluntary cancellation requests concerning eligible reservations booked through Traveltron.

Cancellation does not automatically mean that a ticket qualifies for a cash refund.

Depending upon the ticket, a voluntary cancellation may result in:

  • A refund;
  • Partial refund;
  • Future travel credit;
  • Residual ticket value;
  • Cancellation penalty; or
  • Forfeiture of some or all ticket value.

The outcome is determined by the applicable fare conditions, airline or supplier requirements, circumstances of cancellation, and mandatory law.

5. Non-Refundable, Bulk, Promotional and Restricted Airfares

Certain tickets may carry restrictive conditions.

These may include:

  • Basic fares;
  • Non-refundable fares;
  • Promotional fares;
  • Private fares;
  • Consolidator fares;
  • Bulk fares; and
  • Other specially contracted or restricted fares.

Some may prohibit voluntary refunds or changes.

Traveltron cannot independently override valid fare restrictions established by the applicable airline, consolidator, supplier, or ticketing arrangement.

However, a voluntary non-refundable condition does not eliminate a mandatory refund right that may separately arise under applicable law.

6. Airline-Initiated Cancellation or Significant Change

A voluntary passenger cancellation is different from an airline-initiated cancellation or qualifying significant change.

Where applicable law gives a passenger a mandatory refund right because the airline cancelled or significantly changed the applicable flight and the passenger declines qualifying alternatives, that legal right controls.

Traveltron will not use this fee policy to convert a legally required refund into an optional paid product or to unlawfully reduce a refund that must be provided.

7. Airline Schedule-Change Assistance

Airlines may modify:

  • Flight times;
  • Flight numbers;
  • Connections;
  • Routing;
  • Airports;
  • Aircraft; or
  • Entire flight operations.

Traveltron may assist eligible customers in reviewing available options following an airline-initiated schedule change.

The airline's applicable policy and mandatory passenger rights determine what options are available.

8. Name Correction Assistance

Airline tickets generally require passenger names to correspond appropriately with required travel documentation.

Where permitted, Traveltron may assist with an eligible name correction.

Possible charges can include:

A name correction is not necessarily the same as transferring a ticket to another traveler. Most airline tickets do not permit unrestricted passenger substitution.

9. Flight Credits and Future Travel Credits

Where an airline permits unused ticket value to become a future travel credit, the credit remains subject to the airline's conditions.

These may include:

  • Expiration dates;
  • Travel deadlines;
  • Passenger restrictions;
  • Eligible routes;
  • Fare requirements;
  • Change conditions; and
  • Other redemption restrictions.

Traveltron may charge a disclosed professional service fee for eligible assistance with credit redemption or rebooking.

10. No-Show Flight Reservations

A passenger who does not travel and does not make an eligible change or cancellation before departure may be classified as a no-show.

Depending upon airline rules, this can result in:

  • Loss of ticket value;
  • Cancellation of remaining flight segments;
  • Loss of return travel;
  • Additional restrictions; or
  • Reduced rebooking options.

Customers should contact Traveltron or the applicable airline promptly if they know they cannot travel.

11. Baggage, Seat and Airline Ancillary Charges

Airline charges for products such as:

  • Checked baggage;
  • Carry-on baggage where applicable;
  • Seat selection;
  • Extra-legroom seats;
  • Upgrades;
  • Meals;
  • Wi-Fi; or
  • Other airline ancillary products

are generally airline/provider charges rather than Traveltron post-ticketing service fees.

Any separately chargeable Traveltron professional service will be identified as a Traveltron charge.

12. Car Rental Post-Booking Service Fees

Traveltron provides car rental reservation assistance primarily through its quote and live-assisted model.

Where Traveltron provides a separately chargeable post-booking professional service, the following standard Traveltron service fees may apply.

  • Fuel charges;
  • Insurance/protection charges;
  • Damage charges; or
  • Other rental-related amounts.

13. Car Rental Rate Changes

Changing a rental reservation may cause the original rental rate to become unavailable.

For example, changing:

  • Pickup date;
  • Return date;
  • Pickup location;
  • Drop-off location;
  • Vehicle category;
  • Driver details; or
  • Rental duration

may require the reservation to be repriced using currently available rates.

Any rental-provider price difference is separate from a Traveltron service fee.

14. Car Rental Cancellations

Rental cancellation conditions vary substantially.

A reservation may be:

  • Pay-at-counter;
  • Prepaid;
  • Partially prepaid;
  • Refundable;
  • Refundable subject to conditions; or
  • Non-refundable.

Traveltron cannot independently override the rental provider's applicable cancellation conditions.

Before cancelling, customers should review the applicable reservation terms.

15. Car Rental No-Shows

Failure to appear for pickup within the applicable provider's permitted timeframe may result in the reservation being classified as a no-show.

The rental provider may impose a charge or retain prepaid amounts according to the applicable rental terms.

Traveltron does not control the rental provider's no-show policy.

16. Charges at the Rental Counter

Certain amounts may be payable directly to the rental provider at pickup or return.

These can include:

  • Security deposits;
  • Optional insurance/protection products;
  • Fuel;
  • Additional drivers;
  • Child seats;
  • GPS or equipment;
  • Toll programs;
  • Upgrades;
  • Young-driver charges;
  • One-way charges;
  • Additional mileage;
  • Taxes or location charges; and
  • Other optional or usage-based items.

Such provider charges are not Traveltron post-booking service fees merely because Traveltron assisted with the original reservation.

17. Rental Vehicle Damage, Fuel, Tolls and Fines

Charges relating to actual vehicle use generally remain between the renter and the applicable rental provider or relevant authority.

These may include:

  • Vehicle damage;
  • Fuel;
  • Cleaning;
  • Smoking charges;
  • Tolls;
  • Parking violations;
  • Traffic violations;
  • Late return; or
  • Other rental-contract charges.

Traveltron does not determine these amounts.

18. Cruise Post-Booking Service Fees

Cruise reservations can involve substantial post-booking work, including cabin changes, passenger amendments, sailing modifications, cancellation processing, and coordination with cruise operators.

The following Traveltron service fees may apply to voluntary customer-requested services.

Cruise-line charges, cancellation penalties, fare differences, taxes, port-related amounts, gratuities, optional products, or other cruise-provider charges are separate.

19. Cruise Cancellation Penalties

Cruise operators commonly use cancellation schedules under which the amount subject to penalty increases as the sailing date approaches.

Depending upon the reservation, a cancellation can result in:

  • Full or partial refund;
  • Future cruise credit;
  • Loss of deposit;
  • Percentage-based cancellation penalty; or
  • Loss of the full cruise fare.

Traveltron does not independently establish or override a cruise operator's cancellation schedule.

Any applicable Traveltron cancellation-assistance fee is separate from the cruise operator's cancellation penalty.

20. Cruise Cabin Changes and Upgrades

A customer may request a different cabin after booking.

Any change remains subject to:

  • Available inventory;
  • Cruise-line approval;
  • Fare conditions;
  • Cabin-category pricing;
  • Promotional conditions; and
  • Applicable additional amounts.

A cabin-price difference is not a Traveltron service fee.

21. Cruise Passenger and Name Changes

Cruise operators establish their own passenger-change and name-correction policies.

Certain changes may be permitted while others may effectively require cancellation and rebooking.

Traveltron may charge a disclosed service fee for eligible professional assistance, but cannot guarantee that the cruise operator will approve the requested change.

22. Cruise Operator-Initiated Changes

A cruise operator may modify:

  • Sailing schedules;
  • Ports;
  • Itineraries;
  • Ships;
  • Embarkation arrangements; or
  • Other operational aspects.

Traveltron does not control cruise operations.

Where the cruise operator changes or cancels a sailing, available refunds, credits, replacements, or other remedies depend upon the operator's terms and applicable law.

A provider-initiated event will not automatically be treated as though the customer voluntarily requested the change.

23. Future Cruise Credits

A future cruise credit may be subject to:

  • Expiration;
  • Booking deadlines;
  • Sailing deadlines;
  • Passenger restrictions;
  • Cruise-brand restrictions;
  • Non-transferability; or
  • Other cruise-line conditions.

Traveltron may assist with an eligible future-credit booking and may charge a disclosed professional service fee where applicable.

24. Separate Flight and Cruise Reservations

A flight and cruise booked for the same trip can remain legally and commercially separate products.

For example, cancellation of a cruise does not automatically make a separately purchased airline ticket refundable.

Likewise, a flight cancellation does not automatically make an independently booked cruise refundable.

Customers should consider appropriate travel protection where desired and review each product's conditions.

25. Travel Consultation & Professional Service Fees

Traveltron may provide travel consultation or other professional travel-planning assistance beyond an ordinary booking transaction.

Where a consultation or professional service carries a charge, the applicable price will be disclosed before the customer purchases that service.

Possible services may include:

  • Complex itinerary research;
  • Multi-city travel planning;
  • Customized travel research;
  • Multiple-option itinerary preparation;
  • Complex rebooking research; or
  • Other agreed travel-planning services.

A consultation fee does not guarantee that a particular fare, flight, rental vehicle, cruise cabin, visa, upgrade, waiver, refund, or provider-controlled outcome will be available.

26. Optional Services

Where an optional Traveltron service is offered for an additional fee, customers may decide whether to purchase that service.

Traveltron will not intentionally characterize a mandatory charge as optional or use a preselected optional service in a manner that prevents meaningful customer choice.

27. Mandatory Charges vs. Optional Charges

For clarity:

Mandatory Charge An amount that must be paid to complete the applicable transaction.

Optional Charge An amount associated with a product or service the customer voluntarily chooses.

Traveltron Service Fee An amount charged by Traveltron for an eligible professional service.

Provider Charge An amount imposed by an airline, car rental provider, cruise operator, supplier, or other third party.

Government Tax or Charge An amount imposed by an applicable governmental authority.

Traveltron intends to identify these categories accurately rather than combining unrelated charges under misleading labels.

28. Fee Disclosure Before Authorization

Where a Traveltron post-booking service fee applies, the applicable amount will be disclosed before the customer authorizes that chargeable service.

Where reasonably ascertainable, Traveltron may also communicate other known transaction components such as:

  • Fare difference;
  • Rental-rate difference;
  • Cruise-fare difference;
  • Airline charge;
  • Supplier charge;
  • Taxes; and
  • Other applicable amounts.

Certain provider-controlled prices remain subject to change until the requested transaction is successfully completed.

29. No Hidden Traveltron Service Fees

Traveltron does not intend to add an undisclosed mandatory Traveltron service fee after a customer has already authorized a different price.

If an additional customer-requested service creates a new Traveltron fee, that new fee will be disclosed before the customer authorizes the additional service.

30. Customer Authorization

Traveltron will obtain appropriate customer authorization before processing an eligible chargeable voluntary post-booking service.

Where the applicable price or requested travel option materially changes before completion, updated information may need to be presented to the customer before proceeding.

31. Per-Passenger, Per-Ticket, Per-Cabin and Per-Reservation Fees

The fee schedule specifies the unit to which a particular Traveltron fee applies.

For example:

  • Per passenger/per ticket means the fee may apply to each ticket being serviced;
  • Per passenger means it may apply separately to each affected traveler;
  • Per cabin means it may apply to each affected cruise cabin; and
  • Per reservation means it applies to the applicable reservation transaction rather than automatically multiplying by passenger count.

The actual Traveltron fee will be disclosed before authorization.

32. Multiple Service Requests

A service fee paid for one completed transaction does not necessarily cover a separate future service request.

For example, a customer who voluntarily changes a flight and later requests another voluntary change may incur another applicable service fee.

Each new chargeable service will be separately disclosed before authorization.

33. Service Fees After Work Has Been Performed

Where Traveltron has clearly disclosed a professional service fee, the customer has authorized it, and Traveltron has completed the applicable service, that Traveltron service fee may be non-refundable to the extent permitted by applicable law.

This is separate from the refundability of:

  • Airfare;
  • Rental charges;
  • Cruise fare;
  • Government taxes;
  • Provider charges; or
  • Other travel components.

Nothing in this section eliminates a refund right where Traveltron fails to provide the purchased service or applicable law otherwise requires a refund.

34. Refund Processing

Refunds can involve multiple parties.

Depending upon the transaction, these may include:

  • Airline;
  • Cruise operator;
  • Rental provider;
  • Supplier;
  • Consolidator;
  • Ticketing or fulfillment provider;
  • Traveltron;
  • Payment processor;
  • Card network; and
  • Customer's financial institution.

Processing time can therefore vary according to the circumstances and applicable legal requirements.

Traveltron will not intentionally promise a refund timeframe shorter than what can reasonably or legally be delivered.

35. Original Form of Payment

Where a refund must be returned to the original form of payment under applicable law, supplier requirements, or payment-processing rules, Traveltron will process or facilitate the refund accordingly within the scope of its role in the transaction.

A customer cannot necessarily require a refund to be redirected to an unrelated payment method.

36. Merchant of Record

Depending upon the transaction, Traveltron, an airline, a supplier, or another fulfillment party may be the merchant of record for all or part of the purchase.

The merchant of record can affect responsibility for processing certain refunds.

A customer's card or bank statement may help identify the applicable merchant of record.

Traveltron will not represent itself as the merchant of record for a transaction where another party actually holds that role.

37. Chargebacks and Payment Disputes

Initiating a chargeback or payment dispute does not automatically cancel an airline ticket, rental reservation, cruise reservation, or other travel service.

Customers should contact Traveltron when seeking cancellation or reservation assistance.

A payment dispute may be handled separately according to applicable card-network, processor, banking, and legal procedures.

38. Provider-Controlled Outcomes

Payment of a Traveltron service fee does not guarantee that an independent provider will approve:

  • A refund;
  • Waiver;
  • Name change;
  • Upgrade;
  • Cabin change;
  • Rental extension;
  • Flight change;
  • Credit extension;
  • Exception;
  • Special request; or
  • Other provider-controlled outcome.

Where Traveltron charges a service fee, it relates to the Traveltron service described to the customer.

39. Traveltron Does Not Control Supplier Pricing

Airlines, car rental companies, cruise operators, consolidators, and other suppliers may change their prices or availability.

Traveltron cannot guarantee that a quoted replacement option will remain available indefinitely.

Provider-controlled inventory generally remains subject to availability until successfully confirmed.

40. No Waiver of Mandatory Consumer Rights

Nothing in this policy is intended to waive, restrict, replace, or contract around a consumer or passenger right that cannot lawfully be waived.

Where mandatory applicable law provides greater protection than this policy, the mandatory legal requirement controls.

41. U.S. Air Passenger Refund Rights

For flights to, from, or within the United States, federal passenger-protection requirements may provide refund rights in circumstances such as qualifying airline cancellations or significant changes where the passenger does not accept alternative transportation, credits, vouchers, or other offered compensation.

Responsibility for processing a required airfare refund can depend upon which entity is the merchant of record.

Traveltron will apply this fee policy subject to those requirements.

42. 24-Hour Airline Cancellation Rule

Customers should not assume that every ticket purchased through an online travel agency automatically receives the airline-specific federal 24-hour cancellation requirement.

Applicable U.S. Department of Transportation guidance distinguishes tickets purchased directly from airlines from tickets purchased through online travel agencies or other third-party agents.

Where Traveltron voluntarily offers a cancellation privilege, or where another applicable law or provider rule creates one, the applicable conditions will be communicated accordingly.

43. Fees Are Subject to Applicable Law

Traveltron's fee schedule applies only to the extent permitted by applicable law.

A listed fee will not be charged where charging it would violate a mandatory legal requirement applicable to the transaction.

44. Taxes and Government Charges

Government taxes and charges are not Traveltron service fees.

Traveltron will not intentionally label a Traveltron professional fee as a:

  • Tax;
  • Government fee;
  • Airport tax;
  • Security tax; or
  • Other governmental charge

unless that amount is actually imposed by the relevant authority.

45. Currency and Foreign-Transaction Charges

Where a transaction involves currency conversion, the amount ultimately posted can be affected by:

  • Exchange rates;
  • Card-network conversion;
  • Bank conversion;
  • Foreign-transaction charges; or
  • Other financial-institution practices.

Such charges are generally not Traveltron service fees unless expressly identified as a Traveltron charge.

Not every component applies to every transaction.

51. Important Post-Booking & Post-Ticketing Disclosure

Traveltron, LLC is an independent online travel agency.

Traveltron post-booking and post-ticketing service fees compensate Traveltron for eligible professional services performed after a reservation has been made.

These fees are separate from amounts imposed by airlines, car rental companies, cruise operators, consolidators, suppliers, fulfillment providers, government authorities, financial institutions, or other third parties.

A Traveltron service fee does not give Traveltron authority to override an airline, rental provider, cruise operator, supplier, or government authority.

Where a Traveltron service fee applies:

1. The service will be identified. 2. The applicable Traveltron fee will be disclosed before authorization. 3. Material known third-party charges will be distinguished where reasonably ascertainable. 4. Customer authorization will be obtained before the chargeable voluntary service is processed. 5.
